Job Description
Position Summary: The Administrative Assistant is essential for providing direct and personal assistance to the manager of the practice. This position is a key contributor to supporting the manager in a clerical, administrative, and organizational capacity and must adhere to the strictest levels of confidentiality and loyalty to honor the integrity of the administration office.
Essential Functions :
- Open, sort, organize, and distribute incoming mail
- Copy, fax, scan file and prepare administrative documents
- Coordinate equipment repairs, returns, and maintenance
- Mail check payments for invoices; forward to Accounts Payable
- Track provider’s license and certification renewals
- Complete paper and on-line credentialing applications and renewals
- Assist with maintenance of employee personnel files
- Place orders for office meals/lunches
- Place orders and tracking for medical and office supplies
- Place orders and tracking for staff uniforms
- Process and track supply order returns and exchanges
- Prepare new hire and benefits packets
- Assist with new hire onboarding process, enrollments/training
- Schedule office meetings, events, lunches, and arrange educational sessions, as needed including CPR
- Screen incoming administration calls
- Serve as a liaison between vendors and manager, as needed
- Maintain manager’s appointment schedule
- Assist in eliminating office waste and reducing costs
- Schedule office building repairs and maintenance
- Prepare and distribute monthly office calendars
- Send call schedules to answering service and hospital L&D departments
- Participate with the overall office function
- Assist with other duties not specifically mentioned in job description
- Follow guidelines as stated in Policies and Procedures and Employee handbook
- Create and maintain respectful relationships with co-workers, outside practices, and vendors
