Position Overview

We are seeking an experienced Legal Technology and Workflow Manager to lead the configuration, optimization, and evolution of our core technology platforms. This role will be responsible for advancing our firm’s use of FileVine, HubSpot, AirCall, and related systems through thoughtful automation, scalable workflows, and forward-looking process design.

The ideal candidate brings deep operational understanding of how a growing, mid-sized law firm functions and has the technical and strategic mindset to move systems from functional to exceptional.

Key Responsibilities

  • Own the configuration, administration, and continuous improvement of FileVine as the firm’s primary case management platform
  • Lead system integrations across CRM, communications, and internal workflow tools including HubSpot and AirCall
  • Design and implement automation strategies that improve efficiency across intake, case management, client communication, and reporting
  • Partner with firm leadership, operations, and department leaders to translate business needs into scalable system solutions
  • Evaluate current processes and recommend enhancements that support growth, accuracy, and consistency
  • Serve as the subject matter expert for system logic, permissions, workflows, and data governance
  • Develop documentation, training materials, and change-management strategies to ensure adoption and long-term success

Stay informed on legal technology trends and proactively introduce solutions that strengthen firm operations

Qualifications

  • Minimum of 5 years of experience in legal operations, legal technology, or systems administration within a law firm environment
  • Prior experience in a personal injury firm strongly preferred
  • Hands-on experience with FileVine required
  • Experience working with HubSpot, AirCall, or comparable CRM and communication platforms
  • Demonstrated understanding of the operational flow of a mid-sized law firm, from intake through resolution
  • Strong ability to translate business needs into technical solutions
  • Highly organized, detail-oriented, and process-driven with a strategic mindset
  • Excellent communication skills with the ability to partner across technical and non-technical teams

Preferred Experience

  • Experience leading system implementations, migrations, or major workflow redesigns
  • Background in legal operations, IT, or process improvement
  • Familiarity with automation tools, integrations, or API-based workflows
  • Experience supporting growth-stage organizations
