Job Title: Associate Administrative Assistant (Onsite)
Location: Omaha, NE 68127
Schedule: Monday - Friday, 8:00 AM - 5:00 PM
Job Overview:
We are seeking a highly organized and detail-oriented Associate Administrative Assistant to provide essential support to our facility. This role involves administrative, accounting, sales, HR, and operational support. The ideal candidate will be a proactive team player with strong communication and multitasking skills.
Key Responsibilities:
Facility & Administrative Support:
- Manage front desk reception duties, including call-ins and walk-ins.
- Assist with redemption invoices, free goods, and donation requests.
- Handle mail distribution, office supplies, and FedEx shipments.
- Track and manage cell phone repairs and equipment.
Accounting & Payables:
- Process bills and invoices, including closed order submissions.
- Manage new supplier setup and P-Card administration.
Sales & Customer Support:
- Support new customer setup, ensuring information accuracy.
- Assist Client Direct customers with inquiries and issue resolution.
- Provide pricing support and uniform ordering for the sales department.
HR, Safety, & Compliance Support:
- Assist with hiring processes, job postings, and interview documentation.
- Coordinate safety training, employee recognition, and wellness programs.
- Support IT and security requests, including badge issuance.
- Ensure compliance with audit procedures and company policies.
Education: High School Diploma/GED (Required).
Required Skills:
- Strong analytical and problem-solving skills.
- Excellent attention to detail and ability to multitask.
- Proficiency in Microsoft Office (Excel, Outlook, Word) and ability to learn in-house systems quickly.
- Strong verbal and written communication skills.
- Ability to work independently and as part of a team.
- High level of professionalism, integrity, and discretion.
- Prior administrative or clerical experience is preferred.
