Job Description

We are a busy high-end, multi-disciplinary clinic offering physical therapy, chiropractic, spinal decompression and shockwave therapy in beautiful Montecito, CA. We are looking for a compassionate self-motivated individual to join our team. Prior experience working with patients in a healthcare office preferred.

General Summary of Duties: Primary responsibilities are general front office duties including assistance with scheduling multiple patient appointments, busy phones, intake of health information, input all relevant data into our electronic health records, scanning, chart management, marketing and back office assistance.

Essential Functions:

  • Answers incoming calls on the third ring and schedules appointments for patients.
  • Provides patient check-in and check-out from start to finish, which includes, creating accurate patient record and collecting payment.
  • Maintains EHRs and scanning filing systems.
  • Creates a welcoming environment in the front office.
  • General administrative duties include; filing, copying, correspondence, faxing, data entry, patient chart intake, ensuring office inventory is managed & stocked with supplies, etc.
  • Initiates daily reactivation calls to patients.
  • Assists in the back office with patient flow and modalities such as Shockwave Therapy & Spinal Decompression.
  • Marketing including posting to all social media platforms, direct mailing, creating newsletters/blogs.

Personality and Work Traits: Must be self-motivated, a desire to excel and be inspired by new challenges. Must have a positive attitude and caring manner. Be sensitive to patient’s needs and the image we portray. Requires dealing with varied personalities with diplomacy and patience. It is essential to be goal oriented with the ability to prioritize and manage multiple workloads.

Qualifications:

  • High School Graduate, College Degree a Plus
  • Strong computer skills; proficient in all MS Office products, and familiar with databases, medical database, marketing and medical record transcribing experience a plus.
  • Verbal and written communication skills.
  • 2 years of office experience.

Physical/Mental Demands: Requires sitting and standing associated with a normal office environment

Job Type: Full-time

Salary: TBD Based on Experience

Expected hours: 30 – 40 per week
